Wedding Tent Rentals

The hottest trend of the summer seems to be outdoor tented weddings. There are many good reasons why tented weddings are growing more popular amongst couples this summer. Wedding tents give their creators endless opportunities and possibilities to create the wedding of their dreams, without the limitations that other venues might impose. A wedding tent is a blank space ready to be reshaped to ensure that you get your dream wedding.

Down below I’ve listed the 5 most important things you need to know before you plan an outdoor tented wedding.

1. Price

Having a tented wedding might seem like a cheaper alternative, but it really isn’t. Not only does the tent(s) need to be rented, you will have to pay the cost of a full build-out which can quickly add up to a large sum. You need to consider the following:

  • Tent size based on the number of guests you want seated underneath the tent, plus the band stage, dance floor, bars, etc. You also need to think about flooring. Do you want subfloor with carpet? Hardwood? Vinyl? The options are endless, but the budget is not - the minimum budget required for a tent build-out is $20,000.00.

  • Electrical requirements for the band, lighting, bathrooms, and kitchen. Renting a generator is key in order to not blow a fuse in your house. Approximately: $6,000.00+ depending on the amount of power you need for all your vendors.

  • Costs for rigging - love that beautiful crystal chandelier? Bistro lights around the perimeter? Obsessed with an overhead floral installation or billow drape? Then be sure to consider the costs to actually install these items across your tent.

  • Rentals can vary based on what your caterer can provide vs. what you will need to rent in order to build a venue in your house. You need tables, chairs, dinnerware, flatware, stemware, linens, high boys, cocktail rounds plus your kitchen rentals. Rental costs are easily $15,000.00++ for 150 guests and growing.

  • Pricing does not include labor, installation, delivery, and breakdown. This is always additional and can be as high as 30% of your subtotal so be mindful of all the extras you need, as this cost is easily overlooked in a budget.

Plan your budget accordingly, and make sure you have all the funds necessary to transform this blank canvas into your dream venue.

2. Temperature Planning & AC

Having an outdoor tented wedding also means being exposed to the different elements. Be sure to plan ahead for any type of temperature you might face on your wedding day. Having an AC or a heater on standby is recommended in order to make sure the experience of the wedding is as wonderful as you’ve envisioned. However, since the cost of AC is rather expensive (minimum $6,000.00), an alternative could be to install fans ($250.00 each). Be sure to include this in your “rain-plan” to make sure that your wedding can run smoothly no matter what weather you’re facing.

3. Additional Rentals

Another extra cost that will be added into your budget for an outdoor tented wedding are the additional rentals that might be required. Bathroom rentals, and sometimes a kitchen tent or prep tent, might be necessary for whichever location you’ve chosen to have your wedding at. Adding additional restrooms might be something to consider even if the location of your venue already offers them. You don’t want to end up with long queues or guests going into your home to use the facilities.

4. Different Tent Models

There are plenty of different tent options you can choose between when creating a tented wedding. The model of your tent should not only be the perfect fit for the style and aesthetics of your wedding, it should also be able to host all of your guests, entertainment, bars, decor and be well suited for the weather.

5. Location

One of the most important parts of planning an outdoor tented wedding is to find the right location. The location of your tented wedding will play a huge part of both the size of the wedding and the cost of it. Are you opting for a backyard wedding or for a more scenic wedding venue? Whichever option you choose, make sure to do your research about the venue rules, noise ordinances in the town, and how they will affect your upcoming wedding.
